How do User Roles work?
AssetStudio allows specific roles to be defined. For each role, you can specify which features of the system you wish to grant access. You can then simply assign the role to the user to control who has access to which features of the system .
Roles are defined Administration > Roles . Here you can define any role you require.

Click the New button to add a new role definition, and the role properties dialogue will be displayed, as in the example below for the Oracle Licensing role definition.

On the left of the dialogue are a series of tabs that represent the features of the product(s) you are licensed to use, so this list will vary depending on your license.
Selecting a feature tab will show the related functions where you can amend the type of access possible for the role. Depending on the selected feature on the left, the functions available for the feature on the right will change: the common Name and Description fields will always be present. These functions are briefly described below.
Administration
Shows any relevant Administration functions for the feature that can be restricted.
Access Control
If you are licensed for this, you will see the Access Rules function that can be restricted by the role definition.
Actions
If you are licensed for Passworks, the actions available will be shown such as Reset Password , Unlock Account and Change User Status .
Apps Monitor
If you are licensed for this, you will see the functions that can be restricted for the role, such as Monitoring Data and File Groups .
Assets
Depending on the features you are licensed to use, this will list the type of assets that are relevant, for example: Amazon Web Services , Microsoft Office 365 , SQL Servers , User Profile Information , Virtualisation, Product Keys and others.
Distribution
Those software distribution functions that can be restricted by the role definition.
Inventory
This will show the Software function that can be restricted by the role definition.
Licensing
Will vary depending on the licensing module selected and will list those relevant functions that can have role based restrictions, such as Suppliers, Agreements, License Compliance, Transactions and others.
Mobile Device Management
Where you are licensed for this, you will see the functions where restrictions can be applied, such as Users, Devices, Apps, Configurations and others.
Objects
Lists the types of objects relevant to the selected feature, for example: History, Computers, Updates, Policies and others.
Requests
Where you are licenses for App-Centre, you will see the end user Requests function where access can be restricted.
Access Levels
Where applicable for each feature, those functions that can be restricted to one of the following levels of access:
No Access
View (read only)
Edit (full access)
Assigning a Role to a User
Once the role definition is complete, it can be easily assigned to a user by navigating to the Administration > Logins and selecting the relevant user to display their properties dialogue, as in the example below for the user ‘Oracle’.

Select the Role tab on the left to show all the roles you have defined. Simply select the role relevant to the user login and then click the Save button. The role will be applied when the user next logs in.
